Terms and Conditions

Please read the following Terms and Conditions carefully before booking the Norway Retreat 2026. By paying your booking fee and proceeding with any further payments, you confirm that you have read, understood, and agreed to be fully bound by these terms.

1.1  To secure your place on the Norway Retreat 2026, a non-refundable booking fee of £100 is required to hold your place. This fee is payable at the point of registration, is not transferable, and will be deducted from your total retreat balance.

1.2  Retreat pricing is as follows:

       Early Bird Price: £1,222 per person (full amount due by 10 May 2026). The £100 booking fee is deducted, leaving a remaining balance of £1,122 due by 10 May 2026.

       Regular Price: Payable in full in one payment, or split across two installments. Payment 1 of £777.50 is due by 10 May 2026. Payment 2 of £677.50 is due by 1 September 2026. The £100 booking fee is deducted from the first installment.

1.3  The Early Bird deadline is 10 May 2026. Full payment must be received by this date to qualify for the Early Bird price.

1.4  All payments are made via bank transfer, including international bank transfer, or via Wise. Full payment details will be provided by email following registration. Please check your spam folder if you do not receive correspondence within 48 hours.

1.5  Participants who wish to share a double room with a partner or friend are welcome to discuss this directly with the facilitators or support team. Please contact us at retreats@thetranquillity.co.uk to arrange.

1.6  A mandatory checkbox confirming your agreement to these Terms and Conditions must be selected before any payment is processed.

2.  Refund and Cancellation Policy

2.1  The £100 booking fee is strictly non-refundable under all circumstances.

2.2  All installment payments made after the booking fee are also non-refundable once submitted. By proceeding with each payment, participants acknowledge and accept this policy.

2.3  There are no exceptions to the non-refundable policy, including personal circumstances, illness, travel disruptions, or change of plans. Participants are strongly advised to take out comprehensive travel insurance to protect against unforeseen events.

2.4  In the exceptional event that the retreat is cancelled by the organisers, participants will receive a full refund of all amounts paid, excluding the booking fee, within 28 days of the cancellation announcement.

2.5  The retreat organisers reserve the right to make changes to the retreat schedule, itinerary, facilitators, or included activities without prior notice, where circumstances require. No refund will be issued on the basis of such changes.

3.  Participant Waiver Form

3.1  Upon registration, all participants will be sent a Participant Waiver Form as part of their registration pack. This will be included alongside payment details and all other relevant information.

3.2  The waiver form contains full details regarding the nature of the retreat experience, including the transformative and experiential work involved such as breathwork, emotional release processes, and other modalities.

3.3  Participants are required to sign the waiver form and return a signed copy to The Tranquillity by email. This must be completed and received by us to confirm your place on the retreat.

3.4  The signed waiver form should be returned to retreats@thetranquillity.co.uk. Failure to return the completed form may result in your booking being held or cancelled.

4.  Retreat Participation

4.1  The retreat is open to participants aged 18 years and older.

4.2  Participants are expected to engage respectfully with the schedule, guidelines, and all instructions set by the retreat facilitators.

4.3  The retreat schedule is subject to change at the facilitators’ discretion. Any amendments will be communicated to participants as promptly as possible.

4.4  Any disruptive, inappropriate, or unsafe behaviour may result in the immediate removal of a participant from the retreat without refund.

4.5  Participants are encouraged to approach the retreat with openness, honesty, and a willingness to engage fully with the process.

5.  Accommodation and Meals

5.1  Accommodation and all meals provided during the retreat are included in the retreat cost.

5.2  All meals served during the retreat will be fully vegetarian. Participants with dietary requirements, allergies, or intolerances must inform the organisers in advance. Every effort will be made to accommodate individual needs.

5.3  Room arrangements, including bed type and room sharing, will be confirmed by the organisers prior to the retreat.

6.  Excursions and Activities

6.1  Excursions are included as part of the retreat experience. Full details of all planned excursions will be shared with participants upon arrival.

6.2  Norway in October offers a truly extraordinary natural backdrop, and every effort will be made to incorporate the beauty of the landscape, including evening opportunities to witness the Northern Lights where conditions allow. The facilitators will monitor conditions throughout the retreat and will guide participants to the most favourable locations and timings available.

6.3  The appearance of the Northern Lights is a natural phenomenon entirely dependent on atmospheric and weather conditions, and cannot be guaranteed. Where a Northern Lights viewing is not possible on a given evening, the facilitators will offer an alternative outdoor experience, such as stargazing, so that the magic of the Norwegian sky remains part of the journey in some form.

6.4  All excursions and outdoor activities are subject to weather conditions and logistical factors beyond the organisers’ control. Adjustments may be made where necessary, and participants will be informed accordingly.

6.5  Participants take part in all excursions and activities at their own risk. The organisers will take all reasonable precautions to ensure safety but cannot be held liable for incidents outside their control.

7.  Health and Safety

7.1  Participants are responsible for their own health and well-being throughout the retreat.

7.2  All participants must inform the retreat organisers of any relevant medical conditions, mental health considerations, allergies, or physical limitations prior to attending. This information will be kept confidential and used solely to support participant safety.

7.3  Participants are required to bring and manage their own prescribed medication. Facilitators are trained to provide general support and a safe environment but are not responsible for administering, monitoring, or supplying personal medication.

7.4  The retreat organisers will not be liable for any injury, health issue, or complication arising from a participant’s failure to disclose relevant medical information or to correctly manage their own medication.

7.5  Some retreat activities, including breathwork, may involve emotional intensity and physical sensation. Participants are encouraged to engage at their own pace and to communicate with facilitators at any time if support is needed.

8.  Travel and Insurance

8.1  Participants are responsible for arranging and funding their own travel to and from the retreat location in Norway.

8.2  Participants are strongly advised to purchase comprehensive travel insurance prior to booking, covering cancellation, medical emergencies, personal liability, and travel disruption.

8.3  The retreat organisers accept no responsibility for missed flights, travel delays, or any costs arising from travel arrangements.

8.4  Participants are encouraged to book flights allowing for early arrival where possible. Specific transport information, including the nearest airport and recommended travel options, will be provided in the participant information pack issued prior to the retreat.

9.  Photos, Footage, and Participant Consent

9.1  On the introductory day of the retreat, participants will be asked to confirm their preferences regarding photography and filming. Consent may be given verbally or via a signed waiver.

9.2  Photography and filming are intended to document the retreat as a whole. Images and footage may be retained by The Tranquillity for internal records and promotional purposes. No participant will be individually identified or highlighted without their explicit consent.

9.3  Participants are encouraged to communicate their preferences clearly on the introductory day. Consent given at that point will govern the use of any media captured during the retreat.

9.4  Once consent has been provided, participants acknowledge that photos and footage form part of The Tranquillity’s retreat record. These materials are maintained by The Tranquillity and are not subject to later alteration or removal requests.

10.  Intellectual Property

10.1  All materials, content, teachings, and resources shared during the retreat, including workshops, group sessions, handouts, audio, and visual content, are the intellectual property of The Tranquillity and its facilitators.

10.2  Participants may not reproduce, distribute, record, or use any retreat materials for commercial purposes without prior written consent from The Tranquillity.

11.  Behaviour, Group Agreements, and Sacred Space

11.1  The retreat is a confidential and sacred space. All participants are expected to approach the experience with respect, integrity, and consideration for others at all times.

11.2  Personal disclosures made by other participants during group sessions must not be shared outside the retreat environment. Confidentiality is a condition of attendance.

11.3  Participants agree not to record any group sessions, ceremonies, or facilitated activities without the prior written consent of The Tranquillity and all individuals present.

11.4  Any behaviour that disrupts the group, disrespects the space, or undermines the wellbeing of other participants or facilitators may result in immediate removal from the retreat without refund.

12.  Alcohol, Substances, and Psychedelics Policy

12.1  The Norway Retreat 2026 is a fully substance-free experience. The consumption of alcohol, recreational drugs, psychedelics, or any mind-altering substances is strictly prohibited throughout the duration of the retreat.

12.2  This is a wellness and consciousness retreat. Participants are expected to arrive and remain in a clear and sober state for the entirety of their time with the group.

12.3  If a participant arrives under the influence of any substance, or is found to have consumed alcohol, drugs, or psychedelics during the retreat, they may be asked to leave immediately without refund.

12.4  Participants with a current or recent history of substance use, dependency, or psychedelic use are required to disclose this to the facilitators prior to the retreat. This information will be treated in strict confidence and is requested solely to ensure your safety and the safety of the group.

13.  Mental Health and Pre-Existing Conditions

13.1  Due to the deeply transformative nature of the work undertaken during this retreat, including breathwork, emotional release, and consciousness-expanding practices, participants are required to disclose any diagnosed or ongoing mental health conditions prior to attending.

13.2  Conditions to be disclosed include but are not limited to: depression, anxiety disorders, PTSD, bipolar disorder, psychosis, schizophrenia, personality disorders, or any condition currently managed with psychiatric medication.

13.3  Disclosure does not automatically disqualify a participant from attending. It allows the facilitators to provide appropriate support and to ensure the experience is safe and suitable for each individual.

13.4  The facilitators reserve the right to recommend that a participant does not take part in specific sessions or activities if it is deemed in their best interest or the best interest of the group.

13.5  The Tranquillity accepts no liability for any psychological or emotional responses arising from the retreat where a participant has failed to disclose relevant pre-existing conditions.

14.  Force Majeure

14.1  The Tranquillity shall not be held liable for any failure or delay in delivering the retreat due to circumstances beyond our reasonable control. This includes but is not limited to: extreme weather conditions, natural disasters, acts of God, governmental restrictions, travel disruptions, pandemics, civil unrest, or any other event that makes it impossible or unsafe to proceed.

14.2  In such circumstances, The Tranquillity will make every reasonable effort to reschedule the retreat. Where rescheduling is not possible, participants will be notified as promptly as possible and refund options will be communicated accordingly.

14.3  Participants are strongly advised to hold comprehensive travel insurance covering force majeure events, as The Tranquillity cannot be held responsible for costs incurred by participants as a result of such circumstances.

15.  Age, Legal Capacity, and Eligibility

15.1  By completing a booking, participants confirm that they are 18 years of age or older and are legally authorised to enter into a binding agreement under the laws of their country of residence.

15.2  Participants confirm that they are booking voluntarily, on their own behalf, and that no undue pressure has been applied in their decision to attend.

16.  Limitation of Liability

16.1  The Tranquillity, its facilitators, and associated team members shall not be liable for any loss, injury, damage, or unforeseen circumstance arising from participation in the retreat or any of its associated activities.

16.2  Participants are responsible for the safety and security of their personal belongings throughout the retreat.

16.3  The Tranquillity’s liability, in any circumstance, shall not exceed the total amount paid by the participant for the retreat.

17.  Data Protection

17.1  Personal information collected during the booking process will be held in accordance with The Tranquillity’s Privacy Policy and applicable data protection legislation.

17.2  Participant data will be used solely for the purpose of administering the retreat and communicating relevant information. It will not be shared with third parties without consent.

18.  Governing Law and Jurisdiction

18.1  These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.

18.2  International participants, regardless of their country of residence or nationality, agree that by booking this retreat they accept the jurisdiction of the courts of England and Wales as the governing authority for any dispute or legal matter arising from their participation.
